Event Management in Jeddah: Who Handles What
We are a venue, not an event agency. What we provide is a coordinator who stays with your event from the first viewing to the last guest and runs everything that happens inside the halls. This page draws the line clearly: what that covers, and what you or an outside planner still arrange.
A dedicated coordinator for every event · one point of contact
At a glance
At Palazzo Ballroom in Jeddah each event has a dedicated coordinator from the viewing to the end of the night. The coordinator is the single contact for everything inside the venue: hall allocation, seating plan, catering, the bridal stage, sound and lighting, and the running order. The Royal Package adds a full organising team. Suppliers from outside the venue, such as photographers, bands and dressmakers, are booked by you, and we coordinate their access.

The Division of Tasks
Searches for event management in Jeddah cover two different services. An event management company designs and produces an event from nothing, wherever it is held. A venue with in-house coordination runs the event inside its own walls. Knowing which you need avoids paying twice, or finding on the night that a task belonged to nobody.
| Task | Venue coordinator | You | Outside supplier |
|---|---|---|---|
| Hall allocation and seating plan | Proposes and draws | Approve | |
| Standard bridal stage and main stage | Sets up | Choose colours | |
| Custom stage design and flowers | Quotes and produces on request | Send a reference picture | |
| Hospitality and dinner | Provides, to the agreed menu | Confirm final numbers | |
| Sound, lighting and screens | Operates the venue's equipment | Hand over files and cues | |
| Running order | Keeps the evening to time | Decide the segments | |
| Invitations and RSVPs | Handle | A designer, if you wish | |
| Photography and video | Coordinates access | Book | Photographer |
| Band or DJ | Coordinates access and sound check | Book | Performers |
| Dress, hair and make-up | Handle | Atelier and salon | |
| Speakers, host, awards (corporate) | Provides stage, screens, microphones | Brief and supply | Agency, if used |
The rule is simple. Everything that happens inside the halls goes through the coordinator. Every supplier you book outside is given the coordinator's number so that the two agree access times directly. That way you are not the go-between on the night.
A Planning Timeline
| When | With the venue | In parallel |
|---|---|---|
| Three months or more before | Viewing, written quote, date confirmed | Set the budget and rough guest count; book the photographer |
| Two months before | Agree the menu; choose stage design and colours | Guest list by name; design the invitation |
| One month before | Review the seating plan and hall allocation | Send invitations; chase replies |
| Two weeks before | Agree the running order segment by segment | Hand over videos and playlists; confirm supplier arrival times |
| One week before | Confirm final numbers for each section | Deliver favours; check contact numbers |
| On the day | Halls and catering set before guests arrive | Arrive early and walk through with the coordinator |
Peak dates fill early. Thursday and Friday nights in the summer holiday and in the weeks after Ramadan are best secured three to six months ahead.
Do You Need an Outside Planner as Well?
It depends on how much of your event lies outside the venue.
- The venue coordinator is enough when you are using the standard bridal stage or a design chosen from a picture, and your outside suppliers are few: a photographer and perhaps a band.
- An outside planner helps when you want a theme designed from scratch, when the family is abroad and cannot follow up in person, or when there are many suppliers to source and manage.
The two work together. The planner specifies what you want, and the coordinator delivers it inside the halls and schedules the setup.
Planning From Abroad
If you are not in Jeddah while you plan, the process still works at a distance: the first exchange, the quote and every later change are handled in writing on WhatsApp or email, and the written quote sets out the package, the inclusions and the terms before anything is committed. A relative or colleague in Jeddah can make the viewing on your behalf. Viewings run daily from 3 pm to 11 pm. The venue is 17.8 km from the airport's Terminal 1 along Al Haramain Road; distances are on the location page.
Corporate Event Management
For companies the same principle applies with different content. The Business Package provides stage setup and projection screens, a sound and lighting system, a registration and reception area, coffee breaks and flexible seating, and a formal quote with an outline running plan is sent the day you ask. Your agency, if you use one, supplies branding, content and speakers. See corporate events in Jeddah, the conference hall and gala dinners.
What Coordination Costs
The dedicated coordinator is part of the venue's service, and the full organising team is part of the Royal Package. Palazzo pricing is available on request and depends on your event date and number of attendees. Anything charged separately appears by name in the written quote. An outside planner's fee is agreed between you and the planner. The three packages are compared on wedding and event packages.
Five Questions to Ask Any Venue About Coordination
- Who is my contact on the night? One name.
- Is that person present for the whole event?
- When can my suppliers come in to set up and test?
- Who starts each segment: the entrance music, the film, the dinner?
- What is written into the quote, and what is a verbal promise?

Frequently Asked Questions
Does Palazzo Ballroom manage the event?
Yes, within the venue. A dedicated coordinator handles seating, catering, the bridal stage, sound, lighting and the running order from the viewing to the end of the night. The Royal Package includes a full organising team.
Is Palazzo Ballroom an event management company?
No. It is a venue with in-house coordination. For design and production beyond the venue, such as a bespoke theme or sourcing many suppliers, you would add an outside planner, who works alongside our coordinator.
How much does event management cost in Jeddah?
Palazzo pricing is available on request and depends on your event date and number of attendees. An outside planner's fee is separate and agreed with the planner.
Can I bring my own wedding planner?
Yes. The planner tells the coordinator what you want, and the coordinator delivers it inside the halls and schedules access and setup.
Can I plan the event from outside Saudi Arabia?
Yes. The quote and all changes are handled in writing, and someone in Jeddah can view the venue on your behalf.
Who do I call if something goes wrong on the night?
Your coordinator, who is the single point of contact throughout the event.
